One of the most common questions we hear from business owners considering automation is: 'How do I know if it's worth it?' It's a fair question. Automation requires an upfront investment of time and money, and the benefits aren't always immediately obvious.

Here's a simple framework for calculating the ROI of any automation project.

Step 1: Quantify the time saved. Track how long the manual process currently takes, multiplied by how often it happens. A task that takes 20 minutes and happens 10 times a week saves 200 minutes — over 3 hours — every week.

Step 2: Assign a cost to that time. Multiply the hours saved by the hourly cost of the person doing the task. If that person earns £30,000 a year, their time costs roughly £15 per hour. 3 hours a week saved = £45 per week, or £2,340 per year.

Step 3: Factor in error reduction. Manual processes have error rates. Each error has a cost — rework time, client dissatisfaction, missed revenue. Estimate conservatively and add it to your calculation.

Step 4: Consider the capacity unlocked. This is often the biggest number. Time saved from admin is time available for revenue-generating activity. If your team can take on two more clients a month because of automation, that's the real return.

Most of our clients see a full return on their automation investment within 3–6 months. After that, it's pure gain.
