From First Call to Live Automation

How We Work Together

From your first free call to a live automation running in your business — here's exactly what to expect at every stage of the process.

01
30 minutes

We listen before we build anything.

Discovery Call

We start with a free 30-minute call to understand your business, your current processes and where you're losing the most time. There's no sales pitch — just an honest conversation about whether automation is the right fit and where it would make the biggest difference.

What you need

Just 30 minutes and an open mind. No technical knowledge required — we handle all of that.

What happens at this stage

  • You walk us through your current workflows and pain points
  • We identify the highest-impact automation opportunities
  • We answer any questions you have about the process
  • You receive a follow-up summary of what we discussed
02
3–5 business days

A clear plan before any commitment.

Audit & Proposal

After the discovery call, we carry out a detailed audit of your existing tools, data flows and processes. We then put together a tailored proposal that outlines exactly what we'll build, how it will work and what it will cost — no vague estimates or hidden extras.

What you need

Access to your current tools (CRM, email platform, project management software, etc.) so we can understand what we're working with.

What happens at this stage

  • We map your current tools and how data moves between them
  • We identify integration points, bottlenecks and quick wins
  • We produce a written proposal with scope, timeline and fixed pricing
  • We walk you through the proposal and answer any questions
03
1–3 weeks depending on complexity

We build it. We test it. Then we test it again.

Build & Test

Once you've approved the proposal, we get to work. We build your automation system in a staging environment first, running it through rigorous testing before anything touches your live business. You'll be kept updated throughout and have the chance to review before we go live.

What you need

Credentials or API access to the tools we're integrating (we'll guide you through exactly what's needed). A point of contact who can review and approve the build.

What happens at this stage

  • We build the automation in a safe staging environment
  • We test every scenario, edge case and failure point
  • We share a walkthrough video or live demo for your review
  • We incorporate any feedback before the final sign-off
04
Launch day + 2-week monitoring period

Go live with confidence — we're right there with you.

Launch & Support

We deploy your automation to your live environment and monitor it closely during the initial period to make sure everything runs smoothly. You'll receive full documentation and a handover session so you understand exactly how your new system works.

What you need

A short window of time for the handover session (usually 30–60 minutes). That's it — we handle the rest.

What happens at this stage

  • We deploy to your live environment and monitor the first runs
  • We provide full documentation for your records
  • We run a handover session so your team knows how it works
  • We remain available for questions and adjustments post-launch

Typical Project Timeline

Most projects go from first call to live automation in 3–5 weeks. Here's how that usually breaks down.

1

Week 1

Discovery & Audit

Discovery call, process audit and proposal delivered.

2

Week 1–2

Proposal Review

You review the proposal, ask questions and give the go-ahead.

3

Weeks 2–4

Build & Test

We build and test your automation system in staging.

4

Week 4–5

Launch

Go live, monitor, handover and documentation.

Timelines vary based on complexity. Simple single-tool automations can be live in under a week; larger multi-system builds may take 4–6 weeks.

What You Need to Prepare

We make the process as straightforward as possible. Here's what helps us move quickly.

A list of your current tools

Know which software you use day-to-day — your CRM, email platform, project management tool, invoicing software and anything else that's part of your workflow.

Your biggest time drains

Think about the tasks your team repeats most often, the manual steps that slow things down, and the processes most prone to human error. These are usually the best candidates for automation.

Admin or API access to your tools

When we're ready to build, we'll need credentials or API access to the platforms we're integrating. We'll tell you exactly what's needed — and help you set it up if required.

A decision-maker available

Having someone who can review the proposal and sign off on the build keeps things moving. We don't need daily involvement — just availability at key milestones.
